ABSTRACT

Thilina Printers is a small sized printing organization which was started in 1994. It situated in Kandy district, which has work force of 22. It has very hug customer base all over the country. Thilina Printers has been provided professional printing industrial service to government technical college students. Currently they don’t have systematic way to manage their employee and customer detail, invoice generate, order processing, estimating quotation, stock control, supplier details, employee wages detail and report generating. The existing system all details managed by file based system. Although the organization production unit moved to new building, and other units remain in previous place. As a result of that manager was facing problem of existing system like lack of communication between workers, delay to finish orders in time, data redundancy, customer dissatisfaction, unable to provide accurate data and unable to provide timely reports.

Now a days printing industry has become the most popular and most wanted industry around the world. This demand has created a huge competition among the printing business world. The proposed web based "Printing Press Management System"(PPMS) built for overcome the problem within the existing system such as order processing, employee and customer detail management, stock management, employee wages management and invoice handling. The web based Printing Press Management System can access by any location either production unit or manager office.

The system has been adopted object oriented techniques and Unified Modeling Language (UML) to analysis and design the system. The system cording was done using the Hypertext Pre- processor (PHP) server side scripting language, java scripts and Apache has been used as the web server, Although MySQL was used to handle databases. This system can run over any Windows or Linux environment.

The proposed web based Printing Press Management System designed according to user and system requirement to fulfill the existing problems. This system offers the products and services that enhance organization growth, efficiency, and profitability.

CHAPTER 1 INTRODUCTION

1.1 INTRODUCTION

Today Information and Communication Technology (ICT) is widely spread over the world. ICT intervention, applied to the right problems in the right way, delivers enormous efficiency and effectiveness gains to organizations. The challenges in this regard are to identify the real problems and to strategically apply the organization’s resources so that these investments are appropriately aligned with the organization’s business goals. Printing industry is fast growing with the technology. This web-based Printing Press Management System introduces systematic way to manage their organization. Therefore the organization able to provide good customer service and increases their growth, efficiency, productivity.

Printing industry has become the most popular and most wanted industry in Sri Lanka. Thilina printers also provide quality product and services to the customers, and helps to the Sri Lankan economy. This project able to achieve controlling organization environment effective way, understanding of the future business needs and decision-making needs of all the levels of management.

1.2 PROBLEM DOMAIN AND NEED OF THE PROJECT

Thilina printers has huge customer- base all over the Sri Lanka since 1994. A Thilina printers is fast growing in printing industry with good name. There are currently no automated systems to manage office works. The client currently has only manual systems with a lot of paper work to manage business processes which are labor intensive and time consuming causing customer dissatisfaction. The problems of the existing manual system can be listed as follows:

All the customer, employee, supplier details manage in accurate way and maintain redundant data

Employees are careless handling customer orders. Because of that in busy seasons regular customers are turn over the reason of their order is not delivering on time.

Customers have limited awareness of all services provided by Thilina Printers.

Current system does not allow review of historical data and filter them.

Currently client has no system to generate weekly, monthly and yearly reports.

Client expressed needs for an auto-estimation system so customers can be quoted on product costs and as a result able to place orders sooner and accurately.

In paper based file management system it is very difficult to track down their profit and loss. If they want to track down their progress they have to go for it manually.

The client required a computer system to overcome these problems and manage the daily activates in accurate manner. Web-based printing press management system would help to improve customer relationship, manage resources more efficiently, understanding of the future business needs and decision-making needs of all the levels of management.

It was really good opportunity to apply the theoretical and practical knowledge gathered throughout the BIT (Bachelor of Information Technology) Degree program by implementing this project, Today Internet usage and Web technologies are rapidly growing in Sri Lanka, reason of that motivate me to implement a web based system to Thilina printers. Web-based printing press management system would help to achieve organization future decision-making and business goals.

1.3 OBJECTIVES OF THE PROJECT

This project mainly design and develop a business management system to avoid the problems in existing file-based system and to improve organization work efficiency, management and accuracy of day to day works.

Provide proper way to maintain and update customer, supplier and employee records.

Manage and maintain inventory data, orders and invoicing detail.

Provide an efficient and effective way to manage business finances including income and employee wages information.

Maintain special Administrative controls and system logins for employees based on employee privileges.

Produce automatically receive stock monitoring display notifications and triggering orders when the re-order level is reached.

Display notifications of customer orders requiring immediate deliver.

Maintain order history and provision to prioritize and filter completed orders.

Produce accurate and automated reports, which will help to understanding of the future business needs and decision-making.

Help to reduce order delays and increase productivity of employees and business process.

Improve quality of customer care by providing efficient and effective information services online.
