1.0 Introduction

Business Communications refers to communications involving business of promotes services, goods or even organization which relay on the business. Business communication can also refer to internal communication. Which involving transmitting message between employers. With the existence of communications, it is the transmission of message with the exchange of information between the senders and receivers, communication also is one of the aspects in business.

a) What are the personal qualities that you should have to help you obtain the job of your dreams? To do that , identify the people around you who can acquire the information that you are seeking to gain a complete perspective.

3.0 Answer to Question 1

In the world of the business communication, we have to consider our future even though we are young, Which mean our future depends on the job we chosen, there are many paths which mean in other ways job, which can change our life. To choose the right job, we also have to consider the personal qualities that are required.

Personal Qualities refers to our personal strength and weakness, means that the personalities of one person, in other way, the characteristics of a person, though that every people in the worlds have the different personal qualities. Some people might have the same strength since we are required to gain the dream job of ours. Also, the rate of successful gaining the job depends on how was the performance of our personal qualities.

To achieve the dream job, some of the common personal qualities have to be consider,

Hardworking, knowledge, honestly, self-confident, responsibility, integrity, flexible, motivation, intelligent and punctuality. Based on the person’s job, only some main aspect of personal qualities are mainly to be considered. Though the common personal qualities is important, sometimes emotions will affected the performance of work as well, even that you are a hardworking workers, if you are a hot tempered person, you might lost the job. For my dream job, I have to considered some of the common personal qualities which is important for me, it might be important to other person as well, Honest, Knowledge, Responsibility and Quick learner.

The first personal qualities to be considered is Honest, not going to mention becoming an employer of any organization or company need to be honest, yet as a human, we all must have honestly, if you are not honest, nobody will trust you. By being a person of honestly, you will gain trust of other persons, employers or any high ranked superior manager even you will gain trust of yourself.

Second the knowledge, of course each person will have different sense of knowledge, with knowledge, it does help in our daily life, having knowledge means that you can understand more of something. Also, you must have the common knowledge of your work, so it will gaining the chance to do well with your work.

Responsibility is important for those they are whether having main task on works or not. They have their personal responsibility on what they are doing in the works.

Willing to learn is the next personal qualities, as a human, we are gifted to have different sense of knowledge and opinion, there are no people that know everything, people will do mistake, but by admitting that you did mistake, you will learned something important and willing to better next time.

Every person have its dream job, whether the job is hard or easy, they wouldn’t care if its their dream job, they will do what they can do with the best their can. Including myself, I also have a dream job, which is network administrator. A network administrator is responsible for the update of computer system and software application which is from the computer networking including the maintenance of networks and monitoring of network data and any relatives of network hardware and software. Network administrator has its role as supporter in an organization, focusing on network components, network server, network security and network connectivity with the company’s LAN/WAN infrastructure.

The role of the Network Administrator depends on the size of an organization or company, mainly it’s involving in maintenance of network servers, printers, routers, computers, security and various type of network equipment. Network administrator usually involving in proactive work, including network monitoring, keeping the updates for the system, improving the strength of security system and maintaining the internet connectivity of the organization.

They are also responsible for maintaining the organization’s network data. In a small organization, they are mainly doing updating of new hardware and software of network equipments, maintaining the system application of computers, making sure that licenses for each software, either old or new are paid, monitoring the performance of network connectivity and scanning for security breaches. Thus, compare to large organization, their roles are separately into various divisions that perform different task and every actions are taken by groups.

For the network administrator, it is important to make sure the network equipment is the newest and useable. Plus, for the division of network administrator, the important is the teamwork between each person, when coming of a security breaches, teamwork needed to be considered so chance of overcoming the problems will be solved easily.

Even its individual, we must remember that we have our responsibility for our works. A good thinking mind will increase the performance of works. As the network administrator is a supporter, it is important in any organization or company.

4.0 Answer to Question 2

Conflict is one of the common problem faced by us, people are arguing over different opinion, goals or even powers. Also, Conflict will end up of power struggles at all things including works or personal stuffs. We may have a feeling of getting into conflict when we feel that we are been threatened or harmed when our needs are not met. All the time, conflict will leads either great benefits or great costs for just two parties, the win will have great benefits while the lose one will having great costs, it might lead the parties into danger or opportunity.

Conflict refers to process of involving few parties arguing or having disagreement over goals, powers or resources. Conflict also can defines as a serious opposition or disagreement of interests or ideas.

Conflict does occur in our life, which can’t be avoid, since we doesn’t know whether we are right or wrong, it will cause conflict, even it seems that we have the great benefits, but the other party are facing costs. Usually conflict occurs in workplace which cause many personal problems or even worst, which involving the organization or company. Doesn’t matter if people work together at anywhere, conflict will occurs anytime. Conflict is a normal and nature thing of any workplaces. When it occurs, there will be a possible for morale to be lowered, absence will occurs and decreased productivity. A lot of the managers, does not matter which company or organization, it said that they had been spend at least some of their time to solve workplace conflicts which will causing lowering of office performance.

There are many reasons or causes of conflict occur in workplace which is a serious problem. Some of it are the primary sources of conflict, which is poor communication, different in values, different interest, rare resources, personalities clash and low performance. Poor communication refers to different communications style or different speaking style can leads to misunderstand between employers or employers with bosses, because in Malaysia, we have different culture which sometimes it cause a problem in communication, not everyone know how to speak different language of other cultures, thus lowering the usage of communication between different cultures. Lack of communication also leads to underground conflict between each other.

Different values refers to every people have different sense of values, how their values stuff, on how they rating or comment on something or how they see the things in their eyes, we can’t control and judge their rights on how their seeing things, they have the right to do it, unless in a unexpected situation, In the workplace, it is made of different person who see the worlds in different ways. Because of the different of values, people lack of understand accept it, conflict occurs.

Thus, every people have different interests, obviously its common that every people have different interest, but it due to lack of acceptance of different interest, conflict occurs when employers arguing for their personal goals, thus ignoring the most important organizational goals and organizational well-being. Conflicts also occurs when employers relay on rare resources, employers feel they don’t have the right for having available resources in order to do their job. With the rare of resources in the working environment, this also causes conflicts, imagines that rare of the resource that you wanted.

Besides, personality clashes is one of the cause, in the work environments, there are many person with differing personalities. Unless they are kind of relationship of colleagues or friend that will understand and accept each other’s opinion and solution, if not, conflict will occur. While in a team or individuals, poor performance or a person will cause the conflict, depending on situation, when one or more person within a working unit are not performing, conflict will happen because there are lack of team working with each other.

Whether I am in one of the parties or not, I think that other parties would agree with since there are some reason they have to be considered. Mainly, in workplace they have the monthly salary obviously, they have a life, a family needs their finance support, without the job, the family will face the finance problem. If the person doesn’t really want to find trouble, he will have to accept all of the different values, even he doesn’t like it. Sometimes, some people doesn’t really liked to be judged, being thinking of this, some parties won’t agree on the primary source, because they think they are doing what they feel is right, so they can do what ever according to their feelings.

Also, conflict does have secondary source. Which is authority issue, it mean that either a person or parties, involving with struggling over something to claim over of their own aspect. It leads from the different rank of jobs in the workplace, the lower of rank of job, the more of the authority occurs in each person.

To dealing with the conflict at workplace, no matter its personal or public. These five methods will have the results state. Avoid, Accommodate, Compete, Compromise and Collaborate. The ‘avoid’ will result in both parties lose because when one of the parties are not willing to cooperate and are unable to state the needs or concerns, they can choose to avoid the conflict and the other parties also doesn’t get what they want.

‘Accommodate’ happened if one of the parties willing to cooperate and getting along with other parties but unable to state the needs, they may have to accommodate the needs of other parties. It will result in the first parties lose and the second parties win. ‘Compete’ is the opposite of ‘Accommodate’, When one of the parties have little or no doesn’t willing to be cooperate and a very strong desire to state their own wishes and needs, their conflict response style will be competitive. It will result in the first parties win and the other lose.

Thus, ‘compromise’ happened when one of the parties willing to be cooperative and also wanted to state their own needs or wishes, then they may compromise with each other, giving some to get some of what their wants. Both parties win in this situation even though they get some of what they want. ‘Collaborate’ is the best situation to dealing with conflict. When one of the parties have a strong motivation to cooperate and have a strong willing to state their own needs or wishes, then a desire for mutual benefit allows for a collaborative response. The result will be also both parties win with a great benefits.

Handling and solving conflict is harder than you expected and is the biggest challenge of employers and mangers. To resolve, we need to know the source of the conflict either primary or secondary, it does cause conflict.

5.0 Conclusion

In the end, to achieve the dream job, it also depends on ourselves we need to hardworking in order to reach it. Sometimes, by doing mistake you will learn something because you did admit that you did wrong. Personal qualities also know as characteristic does affect our future for choosing what we suppose to be.

I also learned that conflict does affect our life and will happen anytime. It is important that we must find the correct solution for the problem we face. We can’t really avoid conflict unless we know it is coming towards.
