Introduction.

Information agencies are the pace whereby we can find or search for the some of information. There is having different types of information agencies that exist such as libraries, archives, record center or museum. Different types of these information agencies have their own roles and function. They also have their own specifically system and technology used in order to make the work becomes easy to handling. In this assignment I will evaluate about what are the systems and the technology used at the library and museum and archives.

1Library is a place whereby the place in which literary and artistic material such as books, periodicals, newspapers, pamphlets. Records and tapes are being kept for reference, reading or lending to the users. The collection at the library such as all the materials need to be systematically arranged in order to make the users easy to find what are collection or reading material provided. (Mobile Reverso Dictionary, 2000)

Museum is a building, place or institutions devoted to the acquisition, conservation, study, exhibition and educational interpretation of objects that having a scientific, historical or artistic value. The collection is consisting of the visual material in two (2) or three (3) dimensional form.

In this assignment I will evaluate about what are the systems and the technology used at the archive/record center and museum.

System.

Definition of Information Systems.

2Based on Online Dictionary for Library and Information Science(ODLIS), they define information systems are the computer hardware system designed to accept, manipulate, and analyze data and to report results usually ongoing basis. It is a computer-based development. (ODLIS, 2008)

ARCIS system

3ARCIS stand for Archives and Records Centers and Information System. ARCIS is a new web-based system being developed by the Federal Records Centres (FRCs) of the National Archives and Records Administration. When fully deployed, ARCIS will serve as the online portal through which the agency will conduct business with the FRCs. It will allow the archives and records centre agency to handle all transactions online, reducing paperwork and saving you time. The system will also allow the agencies to track the transactions electronically, giving instant access to information about your records. ARCIS is being rolled out on an incremental schedule. As of October 19, 2009, the system has been deployed at all Federal Records Centers and is being used by FRC employees to process and track transactions.

This system is developed by the National Archives and Records Administration's (NARA). It doesn’t really mention that this system is developed by NARA but in the article, it said that NARA had operated and managed these systems. (Archives and Record Center Information System, 2003) .This is because they need to manage the storage and services for records storage in 17 facilities across the country. The ARCIS is developed to replace an out dated and costly patchwork of computer support systems with a modem integrated system. ARCIS will support streamlined business processes, thereby saving money and providing better service to our customers (Federal agencies who store records with the RCP) who expect real-time, web-enabled access to their holdings and their transaction information. This is under the Federal records center management.

Scott Beadle is based in Fort Worth, Texas, and joined the National Archives in June 2011. He came to the Federal Government from the private sector where he held positions in project management, account management, healthcare industry sales, and customer service. Prior to his private sector business experience, Scott served eight years in the United States Air Force as a missileer and satellite communications officer. Scott employs a consultative sales approach to customer service, support, and relationship management.

Needs of the ARCIS system

There a few needs of these systems to the records center and archives in order to their services. Below are some of the needs of this ARCIS system.

Storage and service for the records.

The NARA need to manage a nationwide record Center Programmed for the records storage in 17 facilities across the country. This is because the ARCIS a systems that support with a modern integrated system and high technology.

Support streamlined business processes

This is because from day to day the records center receives a lot of sending records that need to be keeping for a while. On order to give a better service, the federal records Center has created this system to provide a better service to the customers. In order to provide a better service to the customers, they expect to have a real-time, web-enabled access and transaction information. This also led to the saving money.

Improve control over access to the records.

The users can control their records by themselves by using these systems. They can restrict the roles of individual users. For example grant the authority to limit the accessed to their company records.

Functionally / Efficiency

This ARCIS system has their own function. It really give a help and very useful. Beside give the benefits to the users, it also help the staff also when they do the work.

Reduce paperwork

You no longer need to type, copy, and mail forms—all transactions can be completed and submitted right from your computer. Transfer and disposal approvals can be given online; no signature is required.

2.5.2 Expedite transactions

When you submit information online, it is instantly received by your FRC, which can go to work immediately to process your transaction.

2.5.3 Find your records faster

ARCIS maintains location information on your records, so you no longer have to. When you want to recall a record, all you need is the transfer number—the system remembers the location. And if your records are ever relocated, the system updates the location automatically.

2.5.4 Track the records

All new transactions will be bar coded, and the bars codes will be scanned by FRC actions are processed. ARCIS uses industry standard bar codes that you can use with your own equipment for local inventory control.

Advantages and Disadvantages of ARCIS system

Advantages

Disadvantages

2.6.1

Users friendly

They provide the manual how to use the ARCIS system. Beside they also provide a online training to the users and staff that used this systems.

Need a Internet connection in order to used the ARCIS

If there a place that don’t have the connection Internet, they cannot access to this system to view or see the records.

2.6.2

Records that keep are have been protect well.

This system have provide the security to the records by provide the passwords. So that the records are not fall into the unauthorized use people.

Can be have a virus attacted if the records center don’t provided the really good anti-virus

The data may be can lost due to the virus that attact the data.

2.6.3

No need to have a bigger space to build the building

Just need to build the website and developed the website only in order to create.

Everyone can used it as long it have data that need to be protected.

Noot all the data are have the value of records. Sometime it just will make the space for the others person don’t have the space to use it.

Technology.

The term of technology is used to create, store, exchange and utilize information in its various forms including business data, conversations, still images, motion pictures and multimedia presentations. It is a set of tools that helps with information and perform tasks related to information processing or individual components that are organized into a computer-based information system.

Information technology is the study, design, development, implementation, support or management of computer-based information systems, particularly software applications and computer hardware. It deals with the use of electronic computers and computer software to convert, storage, protect, process, transmit and retrieve information.

4Based on UNESCO, they defines information technology as scientific and technological and engineering discipline and the management technique used in information processing, their applications, computer and their interaction with man and machine and associated social, economic and cultural matters.

It also refers to both hardware and software that are used to store, retrieve and manipulate information.

The technology that I had chosen is the sensing motion Passive Infrared sensors/detector.F:\images (1).jpg

Figure 3.0 : Sensing motion Passive Infrared sensors/detector.

Background of Sensing motion Passive Infrared (PIR) sensors/detector technology.

Sensing motion Passive Infrared (PIR) sensors are low cost detector used to detect the human detector. It only provides a low-frequency and small amplitude signal when it detects the movement. This sensors PIR will analyze the signals from the CCTV camera for changes in brightness and for in specific areas in the camera views.

This is a fully integrated mixed−signal CMOS device designed for low−cost passive infrared controlling applications. The device integrates two low−noise amplifiers and a LDO regulator to drive the sensor. The output of the amplifiers goes to a window comparator that uses internal voltage references from the regulator. The digital control circuit processes the output from the window comparator and provides the output to the OUT and LED pin. (Fletcher&William Isaac,1894)

Features

• 3.0 − 5.75 V Operation

• −40 to 85°C

• 14 Pin SOIC Package

• Integrated 2−Stage Amplifier

• Internal LDO to Drive Sensor

Needs of the Sensing motion Passive Infrared sensors/detector technology.

This technology is very useful used at library, museum, and record center. But moistly of this sensors detector used at museum to detect the movement of the visitors that visit the museum.

3.3.1 Security of the material

This motion detector is to guard the motion of the visitors. This is because that the curator of museum needs to make sure that they provide a security in order to protect their collection. This is because most of the collection are valuable and price able.

3.3.2 Reduction of losses

Before this, there a lot of burglar case. In order to make sure that the collection is not taken by the burglar, this can help to reduce the losses of the collection.

3.3.3 Protection of the equipment.

With this sensing motion detector, it can help the curator to protect all the equipment even they didn’t not see it for the whole time.

Functionality / Efficiency

This technology have the function to the museum in order to protect the collection at the museum. Below are the further explanation what are the fnction of this technology.

3.4.1 Detecting signal variations

If there is no signal from the PIR sensor, the software counter (which tracks the number of occurrence of LOW / HIGH in a particular time) variation remains within in a small range. In case of motion and hence a signal from the PIR, this software counter will change beyond the limits set by the software.

3.4.2 Filtering signal variations due to changes in surroundings

Slow changes because of temperature, ambient light etc. are compensated by software by keeping the transistor output/feedback signal at constant level. The effect of these parameters may cause changes in the threshold voltage. But by maintaining the threshold signal at constant level these effects are nullified. This changes the value of the software counter slightly, which can easily be distinguished from human movement (which also causes changes in the software counter) by comparing the magnitude and direction of the changes.

3.4.3 Commonly used in security lighting and alarm systems

Used in in an indoor environment, PIR sensors have a range of approximately 6 meters, depending on conditions. The sensor adjusts to slowly changing conditions that occur normally within the environment, but shows a high-output response when a sudden change takes place. It can connect to each other.

Advantages & Disadvantages

Advantages

Disadvantages

Low cost only if the organization wants to purchase this thing.

Too many function need to handle. Sometime maybe the person will careless because did not aware.

Can connect too much function rather than only can sense the motion of the person only.

The low distant coverage.

It need to put too many detector in order to guard the place. So it will take money to buy it.

Conclusion.

As a conclusion, the systems and technology are widely used at the many of different agencies. There a lot of types of the information systems and information technology that are used. We as the users need to appreciate what are the facilities provided and fully used it. This is because without this technology and system, we may be difficult to get the information that we want.
