INTRODUCTION

I have to do assignment for managing business projects module. Assignment title is small school system which involved tasks all together five tasks.

According the assignment, there is no in-house expertise to call upon so all the project is heavily reliant on me, as no-one else has the relevant project management and ICT skills. And the system needs to be installed and working within six months.

My project is to build the web site for small village school which is low cost and match the all requirements of students and teachers. We can access data, record data and inquiry information from web based software.

This small village school assignment will help me to understanding of and, ability to use selectively and appropriately, tools and techniques for managing business projects.

Task - 1

Introduction

Smaller numbers of students, a more intimate and personalized learning environment, and a cohesive vision among teachers characterize small schools. With no more than 350 students in an elementary school and 500 in a high school, small schools foster environments in which parents, teachers, and students get to know one another well.

Small schools are a vehicle for teachers, students, parents and other school community members to implement strategies that they know will benefit the students. The manageable size of a small school allows the faculty to meet frequently to discuss the day-to-day operations of the school, as well as to design curriculum, discuss student progress and meet with parents and community members.

Our small school accepts that enroll students from the local attendance area. As with other small schools, has small numbers of students and specifically design their programs to maximize the benefits of a small faculty and student body. Our small school has its own unit number, administration, faculty, students, Local School Council, budget, and schedule.

The small village school, with pupils in the age range 5 to 11 years, has received government funding specifically to buy a network of 8 desktop computers with Internet connection, two interactive whiteboards for classroom use, a network laser printer and an "off-the-shelf" database for school administration. Our small school is the elementary school no more than 350 students. There are the staffs such as admin staffs, operational staffs, registration staffs, financial staffs and academic educational staffs. In one class of the students are no more than 16. And students need to access the Internet for research purpose and for learning materials. They also need to write their assignments and print them out. While they prepare assignments, they can search facts from the Internet resource.

From the side of teachers, they have to keep records of student attendance at classes and marks for tests, exams and assignments. So students’ progress is recorded with respect to exam and coursework as well as attendance. Teachers also need to access the Internet for purpose of teaching materials that can be used on the interactive whiteboards. A student is awarded a Pass when the overall mark (examination and coursework) is greater than 40%.

Problem of Current System

In the current system, we usually have very time consuming. Especially, when we searching students data, records. If we need to update students address or other information, we can’t find the data in one place. In this system, we haven’t classified role and permission. So easy to see the security is very low.

There is no backup system, so we need to manually save and backup the data every day. In current system, often it is hard to track every individual student. Teachers have to search through filing cabinets or organized text documents on their computers. All of the information is spread.

And also sometimes it can be hard to track every teacher in a school. It is hard to view every individual teacher’s class schedules.

Statement of Proposed System

I have to built web based software; it is a great tool for small school. This software will do many things. Just connect the Internet; ever user can access the system everywhere. I am sure that this web based software impresses parents! Many parents are interested and concerned in their child's academic records. This system support not only read but also insert, update options. But we have to divided role, permission and authentication. And the system only allows the authorized person. The software will show parents everything they need to know about the progress their child is making. The parents can easily check their child's report card and even their class schedule.

With this great software, we will be able to access all information involving the students at our school. In current system, often it is hard to track every individual student. This software will help our works easily. This software makes it simple. It is clear that all of our students’ information is in one place. We will have access to every student’s schedule, which can be very helpful. In proposed system, teachers no longer have to search through filing cabinets or organized text documents on their computers. All of the information is in one place!

Since being a small school, we're pressed for time, so not only will teachers have access to every students schedule, teachers will also have access to their address and parent contact information. What usually would be very time consuming has now been made very quick and easy to access. With the web based school management software we will also have access to student disciplinary records. This tool also will give you access to every students extra-curricular activity records. This software will help administration user.

For good impression, I'm sure that our teachers are pressed for time to make pretty report cards. Never again will we have to use a complicated program to create organized report cards. This software is simply helping us. It is also great at making report cards! Everything we need is all in one place (we already have the Internet connection). Especially, we can look at the students’ grades all in this software package. Then we can simply transfer the grades into an actually report card. And but also we can sent it to the parents directly for the mail. No longer needs to worry report cards are lost.

Finally, we can also track teacher information and admissions records. Not only student information but also we can easily view any teachers contact details. We will find out this tool to be extremely helpful. Sometimes it can be hard to track every teacher in a school but this program makes it simple. We can even view every individual teacher’s class schedules. With this software we are always informed with what is going on in our school. This truly is the best software and it will make our project success.

This software not allows every user. It’s restricting. When user is log on to website, they need to type account and password. Then, the system will check the user is admin or staff or normal user. If it is admin, the system will show admin page. Admin role can update, insert or delete data. So in the proposed system, the security is high. Beside, the system will auto backup data so we do not need to worry for lost data.

Risk Assessment

This project is heavily reliant on me, but I am just junior and less experience. In this IT projects, we need to select the supplier. The process of supplier selection must be carefully controlled. Because we need to ensure that the perceptions of the products delivered match the expectations. IT procurement is especially risky. The decision need to make is sometimes the make-or-buy decision. In this case usually a matter of which risks are preferable. I have to make the decision by the relevant stakeholders.

There is one thing that is no-one has the relevant project management and ICT skills. So it is difficult and hard to communicate when develop then project. I have to guide the school staff and show what will have to be done to make it a success. The staffs are lack of ICT knowledge so we have to train. We need to train them to familiar with the system. We have to explain how the proposed system is useful and easily to traditional staffs.

In the IT projects, the internal resources have to be supported by outside suppliers. So we need to select the supplier. The process of supplier selection must be carefully controlled. Because we need to ensure that the perceptions of the products delivered match the expectations. IT procurement is especially risky. The decision need to make is sometimes the make-or-buy decision. In this case usually a matter of which risks are preferable. I have to make the decision by the relevant stakeholders, not to make it themselves. The work involved to generate the procurement documentation, consider prospective bidders, wait for the supplier' responses, select a supplier and then negotiate a contract may often require a significant amount of time to complete.

When the above works are done, I have to continue to do. I need to monitor and control the contract.

The Select suppliers process receives bids or proposals and applies evaluation criteria, as applicable, to select one or more sellers who are both qualified and acceptable as a supplier. The following can be evaluated in the seller selection decision process:

In the stage of activity G, we have to introduce new system to the users and train the users to know the how system works and to understand how to use the software. This is the last stage of the activity of network.

Task-3

In the IT projects, the internal resources have to be supported by outside suppliers. So we need to select the supplier. The process of supplier selection must be carefully controlled. Because we need to ensure that the perceptions of the products delivered match the expectations. IT procurement is especially risky. The decision need to make is sometimes the make-or-buy decision. In this case usually a matter of which risks are preferable. I have to make the decision by the relevant stakeholders, not to make it themselves. The work involved to generate the procurement documentation, consider prospective bidders, wait for the supplier' responses, select a supplier and then negotiate a contract may often require a significant amount of time to complete.

When the above works are done, I have to continue to do. I need to monitor and control the contract.

The Select suppliers process receives bids or proposals and applies evaluation criteria, as applicable, to select one or more sellers who are both qualified and acceptable as a supplier. The following can be evaluated in the seller selection decision process:

Price or cost- that is primary determinant for an off-the-shelf item

Management sections are required as part of the proposal and to develop

Multiple sources require for critical products or services, and results to lessen risks

Tools and techniques can be used to select suppliers e.g. a weighting system

A short list of qualified suppliers can be creating based on a preliminary proposal. A more detailed is need that is requested from the suppliers on the short list.

Evaluation criteria are often included as part of the procurement documents. Creating criteria can be limited to purchase price if the buying item is readily available from a number of acceptable suppliers. Purchase price in this basic includes both the cost of the item and additional expenses such as delivery.

Selection criteria can be specified and documented to support an assessment for a more complex product or service. I select the supplier based on the following example:

Firstly consider the needs. How well does the supplier's proposal address the contract statement of work?

Overall cost -Will the selected supplier produce the lowest total cost?

Does the supplier has, or reasonably expected to acquire, the technical skills and knowledge needed?

Does the supplier have, or can the seller be reasonably expected to management processes and procedures to ensure a successful project?

We also consider financial capacity. Does the supplier reasonably be expected to obtain, the necessary financial resources?

Does the supplier have the capacity to meet potential future requirements?

We have to consider the business size and type. Does the supplier's enterprise meet a specific type or size of business?

References -Can the supplier provide proper references from prior customers verifying the supplier's work experience?

Does the supplier assert intellectual property rights in the work processes or in the products they will produce for the project?

Does the supplier assert proprietary rights in services they will use or in the products they will produce for the project?
