The three internal stakeholders of Micro –Ware Ltd are

 Ralph Yung ( CEO)

 Sally ( Admin Clerk)

 Jeff (Marketing)

Ralph Yung - Personal agenda is all day to day management decision and for implementing the company’s long and short term plan.

Sally - Personal agenda – She is maintaining the communication lines in the company and also led the admin team.

Jeff - Personal agenda - He looks after a small marketing department and took over general manager’s position when Manu left the company.

The influence they are currently having on the organisation:

 Ralph Yung – he relies on Manu for the day to day management of the company as well as on Sally for maintaining the communication line in the company.

 Sally – overloaded with work and feels rather undervalued.

 Jeff – He is the potential star of the business and he took over Manu’s job as general manager trying to change the guideline of the business for the better marketing purpose.

b) Outline the business demographic of the three key teams and the three individuals;

Jeff, Ralph and Sally in the software company.

The businesses demographic of three key teams are

 Production

 Administration

 Marketing.

Production Department is managed by Manu General Manager of Micro – Ware who has been with the company since the beginning and the majority of staff works in the production department are young and the department is very profitable.

Administration department is led by Sally she is in her late 30s and she is been in the company for some years , her teams comprises a number of older women and one man who is near retirement age .

Marketing department is led by Jeff he is a young market graduates and has lots of knowledge and ideas about marketing and he is doing really good in his department and he is impressed by two large budget clients.

C) The meeting Ralph called was not very successful. Outline a structure four part procedure for organising and managing meetings that Micro – Ware Ltd can adopt.

Four part and procedure for organising and managing meeting are:

 Sally should have wrote in her email that if there have any concern please write it on the agenda book

 The CEO Ralph Young should not mention in the meeting to the staff that you should be open about the staff issues meeting is a formal forum personal issues should always be address personally.

 Sally should have ready the attendance sheet for the staff

 Ralph Young CEO once he had left the meeting .Another date should be announced. Apologies should give by the Ralph about his departure and he can always ask the staff to send him e-mail or come and see him personally.

d) Explain six ways in which the principles of group dynamics could be used to help solve the problems within the software company.

 The CEO Ralph should have set the clear rules of the company and get every member of the company to agree the rules

 Soft- ware company goals should be clearly defined so that not everyone is doing his or her own things.

 There is no team work between Jeff and Rob

 Ralph Young should have assign a leader when Manu left the company

 The Micro-Ware Ltd should have an effective communication among the marketing and production staff.

 Criticism of staff among each other

e) Outline three ways a comprehensive intranet could improve internal communications at the software company.

 Information and knowledge can be shared , and accessed and stored

 Security nobody can access

 Better communication therefore members are not heavily depend on Sally for maintaining the communication lines in the company for the preferences of each individual.

a) Identify six ways in which any company can be deflected from its goals by communication

 Lack of feedback from staff

b) Outline 2 ways in which Jeff may be deflecting Micro- ware from its goals through his choice of communication method and mediums

 Jeff is calling meeting more often rather than concentrating on the production side of the company. It causes stress and tension among the staffs who feel they should be focussed on the completing the project rather than distracted by irrelevant marketing staffs

 Jeff has shown a poor leadership quality which leads the staff to make a complain to the CEO as Jeff is distracting them.

c) Explain two (2) things he could do to refocus and get everyone working on the achieving the key goals.

 He should not bring in his marketing skills into the production line and should not call the meeting every now and then which leads to the distraction of the staff in their work.

 Communicating with the senior staff like Rob and working alongside with him will improve the production of the company and it will make the company move forward.

3) Organisational culture and ethics

a) From the case study outline how any three different aspects of Micro-ware Ltd. Organisational culture and ethical behaviours (e.g. range of culture within the company, rituals and routine , power structures, stories) impact on effective communication and its management?

Three different aspects of Micro- ware Ltd are

 Range of culture within the company (The Micro- Ware Company does not have effective internal intranet through the marketing teams to communicate within their groups using the different network.

 Rituals and Routine (The marketing team are very social people and interact with each other very well whereas technologist just prefers to use technology as their means of communication method.

 Power Structures (Since Manu has left the company and Jeff has taken the position of general manager he wants to change the guideline of the organisation database to make it meet better marketing standards.

b) What two breaches of privacy can you determine from the information in the case study?

 Jennifer has downloaded X rated images from the internet and also her computer contains some stolen software downloads.

 Rob downloads a copy of staff notes with their names of it and sent the draft to the boards of directors.

C) Beyond the case study provide two other possible ways in which privacy can be breached in a business environment:

 Staff members telling their family members about the work related matters and what’s been happening at work.

 Taking work documents at home and family members go through that when you are not around.

d) What copyright infringements can you determine from the information in the case study?

 Jeff is trying to use information from a powerful USA company and he is not asking permission from them whereas he is thinking that they will never find it out.

e) What are the possible implications of these infringements for the company?

 The USA Company may take legal action as Jeff has failed to seek their permission in regards to the information he is going to use in the Micro-ware company.

 Face to face communication – Purpose of face to face communication allow staff and employer to discuss major issues in complete confidence.

 Telephone communication – is more time and cost effective than meeting.

 Social Networking – encouraged users to share interest and ideas among the people from the webpage.

 Non Verbal communication – Tells a message both verbally and with the correct body language

 Electronic Communication – stored permanently or temporarily for years and can be printed and stored in files.

c) Give an example of how each type of strategy is used.

 Face to face communication – Sally liaises with the various team leader face to face .

 Telephone communication – the admin team prefer to communicate over telephone or face to face.

 Social Networking – The marketing team are very social people and they use social networking to communicate.

 Electronic Communication – Technology team use technology as their communication method.

 Non Verbal communication – The CEO use this to liaise with the team leaders to convey his message to everyone in the company.
