CHAPTER – 1: INTRODUCTION

Topic of the System

After observing the existing situation under Project Background, it is being aimed to do develop a mobile application for an organization. Upon the completion of research work, it has been finally decided to provide a mobile based solution which will automate the whole process of an organization procedures.

The function of Human Resources departments is generally administrative and common to all organizations. Organizations may have formalized selection, evaluation, and payroll processes. Efficient and effective management of "Human Capital" progressed to an increasingly imperative and complex process. The HR function consists of tracking existing employee data which traditionally includes personal histories, skills, capabilities, accomplishments and salary. To reduce the manual workload of these administrative activities, organizations began to electronically automate many of these processes by introducing specialized Human Resource Management Systems. HR executives rely on internal or external IT professionals to develop and maintain an integrated HRMS. Before the client–server arc0hitecture evolved in the late 1980s, many HR automation processes were relegated to mainframe computers that could handle large amounts of data transactions. In consequence of the high capital investment necessary to buy or program proprietary software, these internally-developed HRMS were limited to organizations that possessed a large amount of capital. The advent of client–server, Application Service Provider.

Target User

After doing the preliminary analysis, three types of target users are identified. The whole project will run around HR managers (Administrator), employee & job seekers.

Administrator/HR managers: - He/ She will deal with an entire system.

Employee: - This will include employees of the organization.

Job seekers: - Those who are looking for the job can register here.

Typically Human Resource Management is the organizational function that deals with diverse issues related to employee compensation and benefits, hiring, employee retention, performance management, organization development, safety/security, wellness, employee motivation, communication, administration, development and training functions also handled by Human Resources management department.

A human resources management system is an automated system designed to store, track and utilize employee demographic, position, salary, and payroll data. The overall goal of the m-HRS is to improve enterprise-wide decision-support and improve operational efficiency.

Since the 1980s, management teams in Malaysian firms have shown an increase in the usage of the term "Human Resource Management" to replace the term "Personnel Management". This is in line with the development of human resource management in the international level. Besides that, Malaysian authorities have embraced this change by taking the initiative in replacing the Ministry of Labor with the Ministry of Human Resources in 1990.The key business drivers for the HRMS project are:

Due to which a heavy loss the organization have to afford regarding their security and the precious information that is being stored in the system. Some time due to not proper functioning of the software the organization have to face problem and up to the time the recovered software is delivered, the technology become outdated and huge data failure company has to face. They face problem in Employee Record, Lack of user friendly, Insufficient of functionality, Delay of working process.

Human Resources System on mobile will provide much flexibility and time saving environment to the users. In present system there is very difficult to keep records. It provides an innovative, cost efficient and effective Human Resource System.

To enable employee to view their profile through android phone.

To know the current location of the employee itself with their android phone.

1.8 Deliverables or Functionality of System

The overall functionalities of the project have been divided into three sections namely Core Functionalities, Enhanced Functionalities & Special Functionalities. Shown below are the different levels of challenges in the project. The developer will definitely fulfill the first two functionalities. Based on further research and if he has time and ability then he will also attempt to implement the special functionalities. Though the developer will try his best to cover all the levels of challenges mentioned below:-

1.8.1 Core Functionalities

This is the very first module need to be implemented as admin is solely responsible for organizing the data of an organization here by admin we can consider a human resources manager who take care of all the data flow within an organization it include these functionalities:

Add Employee:

The user has to register him to avail the facilities provided by the m-HRS developed here. Registration includes some basic user information like name, address, email id , mobile number, qualification, gender, phone number ,salary etc.

Login:

Here, registered users can login themselves to enter into the website. They will have to enter their respective IDs and Passwords.

Leave request

Employee can send leave request to the admin.

User Account Maintence:

Now once a user is registered he/she can manage his account which includes changing Password.

Employee can manage their profile by sending their request to the admin and employee can change their password himself.

Check for internet availability

For this application internet is necessary, so application check internet connectivity wherever it is necessary like registration module, map location. If internet is not connect then it shows an error message.

Searching:

Developer let the user to search in many ways e.g. suppose admin search any employee then he can search in employee list or if he want to search employee for call then he can search in their phone contacts through this application.

Recruitment:

Here, the candidate which are join this company are fill their details and send via email. After that, admin give them response for their further process details or interview date.

View Employee List: Admin can view employee list which are already registered in the application.

1.8.2 Enhanced Functionalities

Email

When Admin add the employee details then he can mail the employee their username and password via email.

Admin can compose mail to send his employee.

Employee send request for updating like address and phone no. via email.

Admin and Employee both can check their mails

Chat

Developer let the user to chat with their employee and for this developer need an authentication so the developer used gtalk for this functionality.

Call

User can call each other from this application. It accesses his phone contacts for this functionality.

Message

User can communicate each other with message.

Map location

Admin can know his location as well as his employee’s location which is entered in the address in their profile.

1.8.3 Special Functionalities

Payroll manages automatically according to their designation. Synchronization is my special functionality through which user can access it online.

Admin can generate the employee’s pay slip according to their leaves taken. And employee can view their salary in his/her profile.

Developer uses the web services for making the system online and to do so database is on server.

1.9 Ethical Issues

It ensures that the project won’t do any harm to the society or anyone in anyways. It contains issues like no animal harm & no copying of data without prior permission etc and to ensure that the developer has filled up an ethical form and it will be provided in documentation.

1.10 Assumptions

The successful implementation of the project is much depends on the understanding of the user towards the system. So as this system is basically developed for an IT organization so it is believed that all the users are expert user and know about using mobile as well as browsers in mobile. And know from where and to reply and receive messages, calls and in this system developer also assumes that the employee having android phone.

Developer is also assume that payroll generate monthly with standard 30 days according to the number of without pay leaves taken from the employee’s.

Developer considers Administrator/HR manager has full Rights and Employee has General rights.

1.11 Scope of the System

This system will be developed on java concepts to provide more compatibility but also restricted to only android supporting mobiles only and will be restricted for the use of organizational purpose only.

Developer uses dd-mm-yy format for storing date.

Database must be centralized it can’t be distributed.

This system isn’t providing any facility of backup, though server is there to handle this problem but in case of server down this system doesn’t have any feature of internal backup.

Files can’t be uploaded or downloaded through mobile version of this system.

Employees can only request for a leave through mobile.

Employee can send request for update and view profile functionality are for other users.

1.12 Limitations of the System

To access this system either system should be deployed over internet or internet is used.

Mobile Version of this system is developed for androids enabled mobile phones not the java.

1.13 Success Criteria

Success Criteria depends upon the depth of understanding and experience gained from this project and how efficiently developer solves the problem described above. The ultimate success criterion is customer satisfaction. Now the developer must look how this system can bring out maximum customer satisfaction. To make this system successful one, maximum user requirement must be satisfied.

To measure the degree of success developer would look how easily learnable her system is? The user must not get confused while using this system i.e. Usability of the system would be another criteria.

In Login Module:

Success would be marked if only registered user is able to login to the system with valid username and password.

In Add Employee Module:

Success would be registration will be done but not any field should be remaining empty and employee gets a email from admin with their username and password.

In Searching Module:

Success would be when search will done properly as it access the phone contacts for that.

In Recruitment Module:

Success would be marked if only job seekers can register themselves with required field.

In Message Module:

The success criterion for this module is that, user‘s every communication process should be responded accordingly as it access the phone contacts.

In Call Module:

Success would be marked if only calling process responded properly from the employee‘s profile who are already registered.

In Map Location Module:

Success would be marked if only when map locate as per the address given in the profile.

In Chat Module:

Success would be marked if only when chat will done only with those who are added with the particular email from which they are registered.

It is an ongoing process which never ends. Throughout the development of the system the primary learning objective is to apply those technology and programming language which are used to develop this system. Learning objectives can be classified as follows:

Learning and understanding Mobile application development: Development of mobile application requires good knowledge of JAVA and also connecting this application with the web server will give the handy experience to learn. It will also give a handy experience to develop much other such kind of applications.

HCIU for mobile: HCIU for mobile is entirely different from that of desktop so it will be a good and learning objective to know about the RSS for small screens.

CHAPTER – 2: PROBLEM DESCRIPTION

2.1 Problem Area

Some time due to not proper functioning of the software the organization have to face problem and up to the time the recovered software is delivered, the technology become outdated and huge data failure company has to face. The following problem areas may be occurring while developing the software:-

Delay of working process: Waiting is the major issue that always happening in the office. Many people will feel the frustration while waiting because it will delay their working process. For instance, manager or approving officer have to check the total of leave that they have applied before approve their leave. At the same time, employee has to wait notification whether their leave is being approved. We can imagine if more than an employee apply leave and have to wait for approval; it will delay their working process.

Insufficient of functionality: Some organization has a payroll management system to easier their daily tasks. However, insufficient of functionality of the system is unable to provide complete solution for staffs. It might just a simple payroll management system which calculate total salary of employees or just keep track employees’ payroll record. Current system still lack of functionality that unable provides help to the user.

Lack of user friendly: A good user interface design can spell the difference between acceptance of a software product and its failure in the marketplace. If the end-users find the software to be too cumbersome or difficult to understand, then an otherwise excellent product could be doomed to failure. The developer’s goal should be to make the software as professional-looking and easy to use as possible. Hence, lack of user friendly is always hard for user to use the system. It takes time to learn and interact with the system.

Employee Record: It may create problem for the employees to check their attendance record or update their personal record.

Other problem areas are sometimes there is a feeling of carelessness comes among staff that no one is there to watch them, sometimes they have the feeling of ignorance that we are doing the things but it is visible to no one. Mobile-Based Human Resources System (m-HRS) is having the capability to solve all the existing problems.

2.2. Problem Importance and Justification

The above problems become very important problems now days where people are so busy and life is so fast. Where the almost every people having a mobile phone and people wish that they can do all their from mobile that it’s not matter where are you. People do not want do any work while sitting in one place.

So, developer thinks to implement a system for an organization which is mobile based that it can reduce the work load of an organization.

It is a mobile application. The main aim of this project is to develop a mobile based system to facilitate record maintenance in the office and makes the tiresome job easier and faster for an automation of Human Resource System. Provide an innovative, cost efficient and effective Human Resource System.

Basically modules are divided into 2 modules:-

Admin Module

Human Resource Management Systems include:-

Payroll

The payroll module automates the pay process by gathering data on employee time and attendance, holidays or number of days per month. Calculating salary automatically after inserting the employee take leaves. It calculates their salary according to designation. Data is generally fed from the human resources. This module can encompass all employee-related transactions as well as integrate with existing financial management systems. In User Module, they can view their payroll or salary.

HR management Information system

The HR management module is a component covering many other HR aspects from application to retirement. The system records basic demographic and address data, selection, training and Development, capabilities and skills management, compensation planning records and other related activities. Leading edge systems provide the ability to "read" applications and enter relevant data to applicable database fields, notify employers and provide position management and position control.

Employee Record

The Employee Record module Employees may view their attendance record from the system without asking the information from HR personnel in their android phones. The user can give request for update their profile like phone number, address etc.

Recruiting

Online recruiting has become one of the primary methods employed by HR departments to garner potential candidates for available positions within an organization.

2.3 Feasibility Analysis

After discussing different aspects of project initiation like project objectives, goals, purpose of implementation, project scope and boundaries, different functionalities that the project is incorporating, resources needed by the project, project limitations, etc, it is time to compile all of them together to produce project feasibility report.

Feasibility study is conducted to measure whether the system being developed is feasible technically, economically, operationally, socially and also whether it is feasible over a time scale.

Justification – Project feasibility report measures the in-depth analysis of project initiation methodologies used. It shows how the project is feasible in terms of Operation, Schedule, and Technology & Budget. (Aggarwal, KK, 1998, P.67)

When an organization or business is taking into an account a new product, the feasibility study act as a logical tool to employ before any investment in resources in new proposed system. It provides a thorough analysis of opportunities that comes in business including all the possible roadblocks that may harm the success of system. And then according to the outcome it is decided whether work should be preceded or not. If the results come in a positive way then developer can proceed to develop the proposed system.

2.3.1Technical Feasibility

The technical feasibility checks whether the proposed system (m-HRS) is feasible or worth technical or not. It checks on the technique used for the development of the project and assesses the availability factor of each and every technique used. The system is technically feasible its makes use of most demanding language in today’s market which is android. To develop this system, factors that were examined are based on the following:

Time Constraint - Moreover there is a time constraint also. The project has to be completed within 8 months schedule. So, all those functionalities are completed which can be completed within the restricted time constraint.

2.3.2 Economical Feasibility

Economic feasibility is an assessment of the financial costs covering equipment, staff, utilities, evaluation etc. No major investment is needed for the successful implementation of the software. The proposed system will reduce the workload on the H R managers and thus help increase overall efficiency. The project will help in saving the time of employees, managers or users of the system. For developing this project, developer using the software on trial version. Developer already has a laptop with minimum requirements, so no investment on hardware also. The project is therefore economically feasible. And for using this system, users only need an android based mobile phone. Research on cost of android phones are given in section 3.2.1 .

2.3.3 Schedule Feasibility

It is basically done for time scheduling estimation. The eight months duration is given to developer to complete and submit this project therefore schedule for this have to be prepared very carefully so that it can be effectively implemented into the organization before the deadline given. 2.3.4 Operational Feasibility

The operational feasibility is concerned with whether the system that has to be developed can operates well for the users and how well it would be used by the users. Proposed project is beneficial only if it can be turned out into information system. This will meet the organization’s operating requirements. Operational feasibility aspects of the project have to be taken as an important part of the project implementation. Some of the important issues raised are to test the operational feasibility of a project includes the following: -

In the case of sufficient support for the project from the users the answer is affirmative, because the existing system i.e. Mobile based human resources system was not proving sufficiently helpful to fulfill the requirements of the user level.

To do the same, the developer would be utilizing fact-finding techniques like interviews and questionnaires in this project. These techniques would help to clarify system‘s usability. However, system would be kept simple enough so that the user has no problems in operating the m-HRS, as M-HRS simplifies the work.

CHAPTER 3: LITERATURE REVIEW DOMAIN RESEARCH

On the basis of the knowledge gained through the preliminary research of the system the client and the developer were able to identify the requirements for creating the proposed system. The developer has identified that before he starts the research supporting the design of the system, she needs to do research mainly in two areas which are domain and technical.

Literature Review in the Present Scenario

In developing countries like India, a large part of the literature concerned with organization has tended to focus on the qualitative aspects of the mobile application. Apart from qualitative approach, a quantitative approach is also coming into face due to increasing number of companies and internet users in India. The report from Ministry of Information Technology and Department of Research and Development confirms the overwhelming participation.

In the literature review of the given project, both the domain research & technological feasibility of the system has been discussed. In case of domain research, first of all the literal definition of human resources system and their duties and responsibilities. Apart from that, usage and growth of relevant technologies are reviewed to verify successful implementation of the system without any major obstacles. A foundation of the primary and secondary research is mainly drawn on the basis of literature review.

3.1 Advanced Preliminary

Idea Generation

During the start of the semester just after the project briefing session the developer started working on the idea generation. The developer was interested more towards working in those areas of IT which are still unexplored. So, having innovation as a prime motive, developer started searching into the different fields of IT.

The idea of this project comes into the developer’s mind when she went to her relatives home who is a H R of a company then she noticed that how a H R managers work hard and manages all their work and responsibilities. Then she thinks that it is good if a manger and his organization can work with his mobile from anywhere. This will help them to communicate with each other and get updated.

There is a rare mobile based application supporting this situation. This highly motivated the developer as this would be totally a new area for her. So, she decided to take risk by delving into the deep world of Research & Development. She decided to create such a system which would not only manage the things on mobile but also automize the payroll system. This would help in easy managing the organization.

So, the developer has given the following name to this project:-

"Mobile Based Human Resources System (m-HRS)"

The developer knew few technologies before developing the project like Java, HCIU.

Developer having some basic concepts of android also.

The developer knew the procedure of working on an android mobile phone. Developer is very much familiar with the features of android, where the developer can use internet, connect with wifi and can access websites from the mobile.
