Non Government organization – is a non profitable organization that helps other people without any compensation. This organization are based on the members similar interest this organization also work voluntarily and they are the one speak up or stand out for your own good. The purpose of this organization is to cater the community to be involved or participate in promoting education and in aid and relief.

Charitable Organization – it is a non profit organization that serves for the public interest of the people. The objective of this organization is to help the people who need charity, this include religious or relief of poverty, education or advancement on the education or other beneficial for the community.

Clubs or union – a club is an organization which is a voluntary organization; it is commonly composed by people who have the same interest or hobbies which they shared together. The purpose of this organization is to learn or acquired each other’s interest and shares each interest.

Two main roles/function that need to be carried out:

Mark (CEO)

Mark has been established a goal of optimizing the production and improve the quality of the finished garments to the required level within 6 months time. One of the main role or functions of a CEO is setting the strategy and vision, he has to set the operations, marketing, strategy, financing, creating the company culture, human resources and set a agenda which should be followed accordingly.

Leader – CEO was all responsible and in charge in overall management of the organization. As a top manager, CEO must act as a leader rather than a manager. As a leader to overall organization, leader should take the lead, must be a good follower to his subordinates. One of the function of a leader to be carried out is to advertised the organization and make a change related to the organization mission. Leaders should also support or motivates employees in organization programs and operations. They are the one who make advises to the board.

Decision maker – as a CEO, they are also in charge in making decisions/final decisions. The CEO was responsible in deciding or guiding the courses of action in operations by staff. They are also the one who recommend policies and planning to the board. As mark (CEO) identified already the problem on the organization, he where the one to decide and make plan and take the lead to make an action so that the solution will be resolve.

Carl (operations Manager)

As an Operation manager he has the responsibility to plan, direct and co-ordinate the operations of Goldenstate manufacturers, he should formulate policies, manage daily operations and plan the use of materials and human resources.

Project Management – as an Operation Manager they are responsible in organizing regular meetings and keeping the team on track, responsible for project planning. They are also work with the contractors. To meet a project goal, the operation mangaer was responsible in planning, organizing and handling resources. They are as well accountable in budgeting, keeping time and scope when planning the projects.

Negotiating skills – negotiating skills is an important role of an operation manager as they are responsible in interacting with the clients. They are the one who settled day to day issues, and managing with complaints. To be able to acquire this role, operating manger should be a good communicator. They should know how to listen and ask questions.

Quality Control Manager

As quality control manager He has to guaranteed that the products that are manufactured in the organization are up to standard and meets the objectives.

Recognising problems and implementing solutions – the quality control manager is responsible in thoroughly checking and evaluating the quality of the product. The purpose of this procedure is to guarantee that the product or the services that have rendered were met the requirements and characteristics such as safe, no defect, satisfactory and fiscally sound. The purpose of the quality control is to determined product or a service that does not meet the specified quality standard.

When the problem has been identified, it is the quality control manager responsible to stop the production until the problem has been resolved. Quality manager should report back to the workers about the findings so that the employees know what they need to improve their service/product.

Research and Development Manager

To research and develop the organization with all scientific aspects that is available which will benefit the organization.

Customer Focus - R&D managers where responsible in taking the feedback of the customers and taking surveys. They handled customers visits and affiliations and testing the products and do a reviews on the company

Reviewing and implementing improvements – the research and development manager where responsible on monitoring the products and the services of the employees. R&D managers determined the new ways to achieved and assess product analysis. R&D where responsible in finding market trends that highlight changes in processing methods, regulatory affairs that may impact a company’s products or services.

The Goldenstate manufacturer is not an effective company. On this organization there is a communication barrier. As the management is strict, firm and its hard to communicate. The managers in different has a different believes, Adam and Ron believes on the philosophy of "my way or no way". On this philosophy it means that they are the only one that need to be followed or that be going to made a decision. Adam doesn’t like his staff to take liberty on doing things without his knowledge. In other hand, James has a different approach which was very concerned to his staff. the managers has no coordination and communication, the impact is that the production and the organization profit has been dropped to 20%. As the workload is high, staff can’t

stay to the company for too long this was the cause of understaffed in the production department and the quality of the products has been affected. As well as the customers confidence to the organization has been diminished. To resolve the problems, managers should start to communicate well.

Leadership Skills – managers should acquired leaders skills as it influence the people, motivate and give direction to be able to accomplish the mission or the goal of the organization. The manager must have a fair minded and a broad minded. This is important because it help to accomplish its mission and its vision too and improve the organization.

Conceptual skills – conceptual skills are commonly on the top management, but to be able to be a competitive all managers should acquired this skills even though they are on the lower management. Management should be creative and formulate ideas. They must understand issues and solving problems and analysing complex situations.

Effective communication skills – in an organization or team it is important to have a flow of communication so that there will be a clear understanding and coordination. Effective communication will result to efficient operation and will help achieve the goals and objectives of the organization. Effective communicator will enables managers to become effective manager to the organization and to the employees. These also help to maximize the work though others to get the job done.

Interpersonal Skills – An interpersonal skill is a positive way in communicating and works efficiently with the workers or to the others. . Management should acquire these skills to be able to build a strong relationship to the workers/employee. There should be an understanding and team work to everyone. Interpersonal is the effective way to handle personal issues and office dispute. The skills include the areas of interacting, delegation of task, listening and leadership.

Ron was aligning on the transactional theory. A transactional theory was basically management process of controlling, organizing and planning. A transactional theory involved in directing followers primarily through appealing to their own self interest. Formal authority and responsibility in the organization are power of transactional leader. The leader has a rule that will obey the instruction of the leader. Transactional theory believes in motivating through a system of punishment and reward. If the desire of the leader has not followed punishment will follow. Ron was aligning on the transactional theory; Ron has a power and responsibility. He has an autocratic style which he believes on the "my way or no way". it is very firm and strict they want to the work to be done according to their rules and they also ignore the ideas from the staff. What they want is that they are the only person who will decide and will give direction to their staff.

Leadership style

Adam (knitting Manager) – the leadership style that Adam uses is autocratic style as it retains more on decision making and power. Adam has the power and control over his way, as he believes on philosophy of "my way or no way". Adam ignore the advice or idea of other people and insist their way. He wants the work to be done according to his direction. The effect on the staff was pressured which will result of staff leaving the job, not taking staff feedbacks and lack of communication. As an effect on employees turn over, the organization will hire and train a new employee and this may result to slow production and it affect the quality of the product.

James (dyeing Manager) - James leadership style was laissez faire. In this style. James doesn’t mind about the organization, he is more concern on the feedback about himself from the staff. He is not interested in the performance of the staff but instead he is interested in the staff to like him. As the staff feel that they have the power to do anything and without the concern of the manager, the result was there is an overstaff on her department. Staffs like to work on the dyeing department as they feel that they can whatever they want to do. In contrary of having a low turnover of the staff, the quality of the produced product has been affected. The quality of the product is poor, as the staffs that works here were not followed the procedure.

How appropriate was the leadership style?

Autocratic Style – in the situation of the organization right now, autocratic style is not appropriate. As this have an overall negative impact to the organization such as reducing the quality of the textile they manufacture and reducing its profits. Currently, autocratic style is not appropriate at the knitting department because the style only allows the workers to do the job under their supervision and rule without any negotiation. As a result, workers feel stress and pressured while working. Workers were afraid to commit a mistake as there is an eye looking after them. Under this style will only work you limited as you only work what the management want, they haven’t even as your ideas to accomplish the job. Staffs doesn’t see their self a progress, staff doesn’t feel valuable and not motivated and this may reason for quitting the job.

To be able to surpass and prevent this situation, manager should try to be communicative to his subordinate and give their staff more space about their job. A manager must learn how to listen to his subordinate and motivate the staff and give reward if needed so that staff will stay longer to the organization.

Laissez Faire - James leadership style in inappropriate in the situation because it is giving too much freedom to the department and thus the Dyeing department is overstaffed. Generally, there is no big problem unlike in the knitting department. The only problem is that the production is always late as the management where too loose to the staff and the leader doesn’t concern on the performance of the staff. the benefits of the staff in the dyeing department, workers get the space to create their work ability which is good for the staff. every staff can do whatever they want without controlled by their manager of course will finally lead a loose working environment to lead over staff in the dyeing section.

Herzberg Two Factory Theory

According to the Herzberg theory there are two factor of motivation, first is the motivation – which this result in satisfaction on job; secondly is known as the hygiene – which avoid dissatisfaction. The two type are quietly different each other. In the context of workplace motivation, a typical factor includes working conditions, salary, security, quality of supervision, and status. Motivators in the workplace are: recognition for the achievement, interest in the job, advancement to higher-level tasks and responsibility for task.

The new CEO mark can use the Herzberg two factory theory to motivate Carl (knitting Manager) to interact openly to the other managers. Mark must motivate Carl by implementing a success of a business is largely dependent on the work procedure within the company. The CEO should know and familiar with the motivational theory and know them how to apply in a critical within the organization. Mark should explain to Carl the step of Maslow motivational theory. Carl should encourage communicating with the other managers. Mark should acknowledge Carl that he is important at the organization and he plays a vital role of the organization and it plays as well a very important part in the performance of the company and where the company stands in the market. Carl can be assured through Mark that he is physically and psychologically secured. He can also be assured the job security. He can remind Carl that he as the General Manager of Operations has the responsibilities and duties and has to show his commitment to the organization. 4 ways that might motivate his staff

To be able to motivate and keep the staff remain in the organization, Adam must firstly changed his leadership style and meet the needs with maslow hierarchy of needs.

Firstly, adam must ensure his staffs are meeting their physiological needs. To be able to meet the physiological needs of the staff, adam should ensure that all his staffs salary has been paid on time without discrepancy. Without money they cannot buy food for their daily life, without money they won’t be able to meet their physiological needs.

Secondly, after meeting the physiological needs, he should something that meet their staff’s safety needs such as safe working environment to all the employees. Adam should also encourage his staff to work hard and meet their goal on time with a good quality with an incentives or rewards or benefits such as having a yearly health check on company cost.

Thirdly, meeting their love and belongingness. Adam should give a reward to all staff if they meet a goal on time or if they will get a less complaint in a month for example. Adam should gather a party or outings for the staff for the achievements so that they will maintain and will improved their performance. As this rewards can motivate the staffs.

Fourthly, self esteem, Adam should discuss to the management to have a in service training every month in the organization so that staff will be able to work confidently. And Adam can also discuss it to the management to have a bonus to those who can attend the training to stimulate his staff work passion. As to be more professional in their work area will make a big progress and staff will feel confident and respected.

Lastly, - Adam can change his leadership style to be more open to his staffs, giving space for their work performance to meet staff self actualization. Staff must be encouraged to be more creative in their work as long the change is more efficient and good for the total task. By doing this, staffs will work initiative and their sense of responsibility and accountability will be stimulated completely. They will feel they are part and important to the organization and making progress during their work and this will keep them to stay with the company for a longer time.

Your staffs feel motivated and more confident, and stress level decrease across the workforce.

High quality of work – delegating the task to the employees who have a direct knowledge on product and service will improve quality of work. Enhancing employee’s motivation will improve the quality of work. As Ron follow same approach and believe in not allowing his staff to take the liberty of doing things without his knowledge so maybe he will delegate the work now.

Before Ron delegate the job, he should be able to identify the best person to do the job. This is basically base on his daily evaluation on his subordinates. Instruct the delegated person how to perform the task by giving feedback. For example, a work report can be essential for Ron to know about how is the job to be done and if it is good or not. Sometimes, it might also take time for him to train the delegated person to be more professional.

Monitoring the person’s progress during his work. Evaluate and train his sense of responsibility and accountability to the whole section and job. Whether this person is accountable and responsible is very important to the general work.
